Test History (Maintenance) Reports

The Test History (Maintenance) Report has been developed by Vehicle and Operator Services Agency (VOSA), in partnership with Manufacturers and Operators. When used proactively it can be used to improve the initial pass rate at Annual Test with some organisations now achieving a 90 per cent pass rate. These organisations claim this has only been possible by using the information contained in the report to improve their training, servicing, repairing and quality regimes.

The test maintenance report gives a number of benefits:

• Vehicles are more productive and spend more time on the road.

• Less money is spent on vehicle re-test fees.

• Improvement in first time pass rates means operators are less likely to incur targeting points, and are therefore less likely to be stopped at the roadside.

• Less time to be spent re-preparing and re-presenting vehicles following failure.

• Overall road safety is improved.

Report Parameters

Pre-Funded Account Number: The relevant Pre-Funded Account Number needs to be selected from the drop down list.

Vehicle test results will be displayed on this report where a test fee was deducted from the Pre-Funded Account. No data will be shown for free re-tests or voluntary checks.

You can also choose to select all of your PFA numbers for the report.

Operator Licence Number: The relevant Operator Licence Number needs to be selected from the drop down list.

You can also choose to select all of your Operator Licence numbers for the report.

Start Month: The default is set to the latest month available, but can be manually changed as required. The date format should be MM-YYYY.

End Month: The default is set to the last latest month available but can be manually changed as required. The date format should be MM-YYYY.

Vehicle Type: Reports are available for Heavy Goods Vehicles (HGV), Public Service Vehicles (PSV), Motor Vehicles and Trailers. The HGV report returns data for Motor Vehicles and Trailers - if you need a report highlighting Motor Vehicle or Trailer then you can select the separate value. The default is set to HGV. Select the appropriate vehicle type from the drop down list.

Report Type: A Full Report or a Summary Report can be selected. The full report gives a summary page and each individual test is listed with the result. The summary version only contains one page with the totals. Select either from the drop down list. The default is set to Full Report.

Report Format: You can choose to receive your encounter report in PDF format, CSV format or Excel format. PDF format will give you all the information you need, but you are unable to modify the content.

Receiving your report in CSV format will allow you to export the information within the report to software packages such as Microsoft Excel.

Sort Order: Reports can be sorted by Test Date or Registration Number. The default is set to test date.

Email: Enter the full email address you would like the report to be sent to.
